Review our policies for a smooth travel experience

At Co-Travel Agency, transparency, safety, professionalism, and service quality form the foundation of every experience we design. From the very first contact with our clients, we aim to provide clear information about how we operate, what standards we follow, and what clients can expect when booking with us.

By requesting information, confirming a reservation, or making a payment, clients acknowledge that they have read, understood, and agreed to the following Terms & Conditions.

 

1. Our Commitment to Safety & Professional Standards

While our programs are designed to offer exceptional and memorable experiences, client safety is always our highest priority.

We do not organize or operate any program, activity, or itinerary that compromises the safety or well-being of our clients — even if such activities are requested directly by the traveler. All tours are carefully evaluated to ensure they comply with safety standards, operational feasibility, and local regulations.

Activities such as:

  • Hiking & Trekking
  • Rafting & Kayaking
  • Jeep Safari
  • Boat Tours
  • Camping & Outdoor Adventures

are conducted in cooperation with licensed and experienced partner companies, selected with great care and with many years of professional experience in the market. Guides and instructors are trained and qualified to manage activities safely and professionally.

The agency ensures that all services are provided according to high professional standards and safety practices.

2. Customization & Program Modifications

We understand that each traveler has unique interests and expectations.

  • Our itineraries can be modified and customized according to client preferences.
  • Adjustments to attractions, activities, travel pace, or accommodation category are possible, subject to availability and safety considerations.
  • Any modification may affect the final price and will be communicated clearly before confirmation.

Co-Travel reserves the right to make minor adjustments to itineraries or accommodations if necessary due to weather conditions, operational requirements, or safety reasons.

3. Reservation & Payment Policy

Upon confirming your booking request, Co-Travel Agency will prepare and issue a legal invoice specifying the total amount due and payment details.

  • A 30% deposit of the total tour price is required at the time of booking to secure the reservation.
  • The remaining balance must be paid no later than 40 days prior to the start of the tour.
  • A booking is considered officially confirmed only after the required payment has been received.

In certain cases (such as peak season, special accommodations, or customized itineraries), full prepayment may be required to secure services.

Failure to complete payment within the specified deadlines may result in automatic cancellation of the reservation.

4. Required Documents

To proceed with the booking and issue a legal invoice:

  • A copy of the main traveler’s passport is required.
  • Full names, dates of birth, nationalities, and passport numbers of all participants must be provided no later than 45 days before departure.

Travelers are responsible for ensuring that:

  • Their passports are valid for at least six (6) months beyond the travel date.
  • They meet visa and entry requirements of the destination country.

Personal data is collected strictly for booking, legal, and operational purposes and is handled with full confidentiality and security. Client information is never used for any purpose other than organizing and executing travel services, except when required by law.

5. Accommodation Standards

Our standard accommodation partners are primarily 4-star and 5-star hotels, selected based on service quality, cleanliness, guest satisfaction, and strategic location.

For rural or mountain tours, we collaborate with carefully selected local guesthouses that:

  • Offer authentic Albanian hospitality
  • Maintain high standards of cleanliness and comfort
  • Provide a traditional yet well-maintained environment
  • Deliver excellent service and atmosphere

Accommodation choices aim to balance authenticity, comfort, and reliability.

6. Transportation Standards

Transportation services are provided through licensed and professional companies.

We ensure:

  • Modern, comfortable, and regularly maintained vehicles
  • Experienced and professional drivers
  • Compliance with safety and transportation regulations

For car rental services, vehicles are provided with valid documentation and agreed insurance coverage. Clients are informed in advance about rental conditions and responsibilities.

7. Health & Fitness Requirements

Certain programs include activities such as hiking, rafting, trekking, or camping, which require a moderate level of physical fitness.

Travelers are responsible for:

  • Ensuring they are medically fit to participate in the activities.
  • Informing the agency in advance of any medical conditions that may affect participation.
  • Following all safety instructions provided by guides and activity leaders.

Failure to follow safety guidelines may result in exclusion from activities without refund.

8. Travel Insurance

Travel insurance is not included in the tour price.

We strongly recommend that all travelers purchase comprehensive travel insurance covering:

  • Medical expenses
  • Trip cancellation or interruption
  • Loss or damage of luggage
  • Emergency evacuation if applicable

Participants are responsible for ensuring adequate insurance coverage.

9. Cancellations & Refund Policy

Cancellations must be submitted in writing.

The following cancellation terms apply:

  • Cancellations made more than 45 days prior to departure: full refund minus a 5% administrative fee.
  • Cancellations made between 30–44 days prior to departure: 50% of the total tour cost will be charged.
  • Cancellations made less than 30 days prior to departure: no refund.
  • No refund will be provided for unused services or voluntary withdrawal during the tour.

In addition:

  • Any changes made less than 7 days before the experience start date may not be accepted.
  • Certain tours require a minimum number of participants. If this minimum is not met, clients will be offered an alternative date/experience or a full refund.
  • If an experience is canceled due to unsafe weather conditions, clients will be offered an alternative date or an appropriate refund.

10. Force Majeure

The agency shall not be liable for failure or delay in performing obligations due to events beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Political instability
  • Flight cancellations
  • Public health emergencies
  • Government restrictions
  • Severe weather conditions

In such cases, alternative arrangements may be offered where possible.

11. Responsible Travel & Client Conduct

We are committed to responsible and sustainable tourism.

Clients are expected to:

  • Respect local communities and traditions
  • Protect the natural environment
  • Follow “Leave No Trace” principles
  • Comply with local laws and regulations

Any behavior that endangers others or disrupts the tour may result in removal from the program without refund.

12. Communication & Client Support

From the initial inquiry to the completion of the tour, we provide:

  • Clear and detailed communication
  • Transparent pricing and service descriptions
  • Ongoing support before and during the trip
  • Emergency contact information when necessary
